Our client is looking for a highly organized and proactive Executive Virtual Assistant to provide comprehensive administrative support to senior leadership. This is a critical fully remote role requiring exceptional communication, time management, and discretion. You will be responsible for managing complex calendars, scheduling meetings, coordinating travel arrangements, and preparing correspondence and reports. A key aspect of this role involves serving as a primary point of contact for internal and external stakeholders, ensuring smooth communication and efficient workflow. You will proactively anticipate needs, resolve conflicts, and maintain an organized system for managing information and tasks. This position demands a high level of professionalism, resourcefulness, and the ability to multitask effectively in a fast-paced environment. You will handle confidential information with the utmost care and maintain absolute discretion. The ideal candidate will be proficient in a wide range of office software, including advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace. Experience with project management tools and virtual collaboration platforms is also highly valued. You will be expected to conduct research, prepare presentations, and manage databases. Your ability to think critically, identify potential issues, and propose solutions independently will be essential for success. This role offers the flexibility of remote work, allowing you to contribute your skills and expertise from your preferred location. We are seeking a dedicated individual who can seamlessly integrate into our client's operations and become a trusted partner for their executives. Responsibilities: - Manage and optimize executive calendars, scheduling meetings, appointments, and travel arrangements.
- Handle all incoming and outgoing communications, including emails, calls, and correspondence.
- Prepare reports, presentations, and meeting minutes with a high degree of accuracy.
- Conduct research and gather information to support executive decision-making.
- Organize and maintain electronic and physical filing systems.
- Coordinate event planning and logistics for virtual and in-person meetings.
- Manage expense reports and invoicing processes.
- Act as a liaison between executives and internal/external parties.
- Proactively identify and address potential administrative challenges.
Qualifications: - Proven experience as an Executive Assistant or in a similar high-level administrative role.
- Exceptional organizational and time-management skills.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Excellent written and verbal communication skills.
- Discretion and ability to handle confidential information.
- Experience with virtual collaboration tools (e.g., Zoom, Slack, Asana).
- Ability to work independently with minimal supervision.
- Strong problem-solving and multitasking capabilities.
