Role Summary

The Retail Project Coordinator needs to be able to supervise, direct, and provide technical support to the appointed MW fit-out teams on-site, ensuring the smooth installation of joinery elements. This role requires hands-on experience, strong communication skills, self-motivation, multitasking abilities, and the flexibility to travel as needed.

Role Description

Project Kick-off:

  • Set up a kick-off meeting with the appointed fit-out teams and, if necessary, coordinate with the general contractor team to align on project scope, timeline, and expectations

Site Assessment:

  • If needed to be able to conduct initial site visits, perform surveys, take photographs, identify loading zones, and provide feedback to the Setting Out Manager (SOM) regarding any critical dimensions or site-specific considerations

Technical Expertise

  • Utilize hands-on experience or expertise to carry out the setting out/marking of joinery equipment on-site if needed
  • Coordinate and address any technical queries posed by the client or general contractor team during MW installation by thoroughly understanding the MW equipment throughout its lifecycle

Project Management

  • and the project's work schedule, preferably using MS Projects, to ensure timelines are met
  • Generate daily/weekly site progress reports, including necessary photos, and submit them to the Project Manager (PM) and SOM for review
  • Manage multiple projects at various stages of development, independently prioritizing and executing tasks to meet deadlines and achieve objectives
  • Proactively manage ongoing projects, taking initiative on tasks without requiring constant supervision or follow-ups

Communication And Coordination

  • Maintain effective communication and coordination with fit-out teams, factory personnel, and clients/client representatives on a daily basis. Relay any discrepancies to the line manager for quick resolution
  • Observe the installation process first-hand and report to the setting out team any adjustments needed to the MW equipment to facilitate future fit-out installations
  • Demonstrate high self-confidence and clear self-expression during client interactions, negotiating client demands appropriately and handling high-pressure situations with composure
  • Effectively coordinate with fit-out teams, considering the full project scope when assigning tasks, and provide direct responses to on-site queries and issues

Travel And Flexibility

  • Willingness to travel to countries in the MENA region and beyond. Adapt to flexible working hours, including weekends, depending on travel and site plans as required
Experience

Candidate Requirements:

  • 5-8 years of relevant experience in project coordination/ project management, preferably in the retail joinery or construction industry

  • Ability to work with AutoCAD, Excel, Word, and MS Projects
  • Strong customer service skills, ensuring client satisfaction and addressing concerns promptly

Key Accountabilities

Finance
  1. Preparation of Monthly Accounts.
  2. Prepare quarterly consolidated accounts for statutory audit.

  10. Manage and review all Payables and Receivable account balances.
Inventory Management Department
  1. Review the stock control perpetual count plan and make changes as deemed necessary. Review the bi-annual full stock count plan with the Stock Control manager.
  2. Review and follow up on stock count and spot check reports.
  3. Analysis of inventory adjustments for posting to general ledger including the stock provision, stock damages and obsolete stock for write off.
  4. Supervise the financial reporting function.
  5. Ensure timely and accurate reporting.
  6. Manage the external audit.
IT

Ensure all internal controls on the Company Accounting system are in place by regular system monitoring and testing.

Other
  1. Supervise the Accounts Department.
  2. Supervise the Inventory Control Department.
  3. Liaise with the management company and other suppliers on a monthly basis to ensure all discrepancies are cleared and dealt with in a timely manner.

Profit Financial

Commercial

  • Ensures products on display are replenished as needed with complete shelf tag price, price tags.

  • Complies with all set customer service standards (e.g. Smile and Greet, Offers Basket etc.)
  • Attend to all customer queries and needs.
  • Resolves customer complaints guided by set customer service standards and within scope of control.
  • Prepares and sets up store promotion by utilizing Marketing Collaterals to effectively communicate store promotions

Process

  • Weekly monitors price changes and updates shelf / price tags as needed.
  • Timely displays all products following set planograms and guidelines for a specified duration.

  • Acomplishes MFP and PDP on time.
  • Participates and implements agreed EES action plans
  • Strictly complies with set company policies and procedures especially on attendance, punctuality and code of conduct and set grooming standards.

Overview

The Assistant Manager is responsible for serving customers on the shop floor and supporting the shop/department managers in ensuring efficient shop operations and maintaining high standards of customer service.

Responsibilities
  • Greet customers warmly and offer expert advice to assist in their purchase decisions, ensuring alignment with quality and customer service standards.
  • Assist the managers in maintaining inventories and placing product orders to ensure effective stock management and availability of products.
  • Report operational issues promptly and address customer complaints, providing solutions or escalating as needed to ensure both operational efficiency and customer satisfaction.
  • Prepare detailed reports on key performance indicators (KPIs), sales trends, inventory status, and team productivity to keep managers informed and support effective decision-making.
  • Assist in scheduling staff to align efficiently with operational needs while optimizing costs for the shop/department.
  • Assign routine and non-routine tasks to sales associates, cashiers, and coordinators to optimize operational efficiency and ensure tasks are completed effectively.
  • Supervise the shop's opening and closing processes to ensure compliance with established procedures for petty cash, reporting, and other requirements. Ensure accurate delivery to the accounting department in accordance with company policies and security standards as necessary.
  • Communicate sales plans and targets to the shop/department team, monitor their performance continuously, and advise upper management on necessary corrective actions.
  • Assist in training, motivating, and evaluating the team to ensure that the necessary skill base is met, and that staff are optimally motivated and enabled to maximize their potential and contribution to the company.
Qualifications
  • Bachelor’s Degree in a related field
  • Five years of experience in Retail, or a similar role.
  • Fluency in English (Arabic is a plus)
  • Specific to Sports Goods Retail: Active participation in at least one sporting activity, deep knowledge of sporting events, proficiency in collective games, project orientation, athletic ambassadorship, enthusiasm, collaboration, empathy, entrepreneurship, and responsibility
