The Warehouse Operations Executive is responsible for overseeing and coordinating the daily activities of the warehouse to ensure efficient, safe, and timely handling of goods. This role requires strong problem-solving and communication skills to optimize warehouse performance.

Key Responsibilities

  • Verify GRN by quantity and damages versus physical goods received and supplier packing list.
  • Ensure dispatched goods are booked against GDNs and cleared from the WMS timely to avoid storage charges.
  • Check FEFO compliance regularly to avoid expiry risks.
  • Plan delivery routes and optimize truck utilization; request additional trucks as needed.
  • Communicate delivery instructions with the delivery team and ensure fulfillment, aiming for seamless delivery and client satisfaction.
  • Issue credit memos for goods returned in good condition.
  • Verify damages and apply damage transfers on NS.
  • Cancel pending invoices not delivered/collected within 48 hours.
  • Instruct warehouse to perform cycle counts on high-value or varianced goods.
  • Reconcile stock records on ERP with warehouse WMS monthly; share variances with finance.
  • Share a stock shrinkage report detailing damages, causes, and variances.
  • Ensure loaded items match invoices and LPOs are attached where necessary.
  • Randomly check temperature of goods prior to loading; ensure trucks are pre-cooled.
  • Supervise loading and offloading processes, checking for potential damages and condition of goods.
  • Maintain and share a list of stocks with no record on WMS, such as opened beef boxes.

Qualifications

  • Excellent communication skills in English, Hindi/Urdu; modest Arabic skills are a plus.
  • Candidate must be based in Bahrain.

Key Responsibilities

  • GRN collection - verify the GRN by quantity and damages versus physical goods received and supplier packing list.
  • GDN clearance - make sure the dispatched goods are booked against GDNs and cleared from the WMS timely to avoid excessive storage charges.
  • FEFO compliance checks - regularly checking the warehouses daily GDN reports for FEFO violations to avoid expiry risks.
  • Delivery planning - Planning the delivery routes and ensuring full optimization of the available delivery trucks. Requesting additional delivery trucks whenever needed to fulfill essential orders that cannot be delayed.
  • Delivery coordination - communicating the delivery instructions received by client with the delivery team and ensuring its fulfillment. Coordinating between the clients and delivery teams for seamless delivery process and achieving client satisfaction.
  • CM issuance - issue credit memos only against the goods returned back to the warehouse in a good condition.
  • Damage transfers - verifying the damages and applying damage transfers accordingly on NS.
  • Invoice cancellations - cancel pending invoices that have not been delivered/collected within 48 hours.
  • Random cycle counts - instruct the warehouse to carry out cycle counts for the goods of the highest value or the goods that are suspected to have variances.
  • Monthly stock reconciliations - reconcile the stock records on our ERP against the stock records on the warehouses WMS. Share the variances with the finance department for NS application.
  • Stock Shrinkage Report - share a report that includes the details of the damages and its causes and value, as well as the variances and its value.
  • Loading checklist - making sure the items and quantities loaded onto the trucks match the invoices. Make sure that customer LPOs are attached where necessary.
  • Temperature & Hyigen check - randomly check the temperature of the goods prior to loading. Ensure that the trucks are pre-cooled before loading.
  • Loading supervision - overlook the loading process to make sure that the no potential damages could be caused during handling.
  • Offloading supervision - overlook the offloading process and checking the temperature data loggers to make sure that the goods are offloaded in a good condition.
  • No-record stock tracking - maintain and share a list of the stocks that are of no record on the WMS like opened beef boxes.

Qualifications

  • Excellent communication skills (English, English and Hindi/Urdu. Speaking Arabic modestly is a plus).
  • The candidate must be in Bahrain.
  • Excellent Problem-solving skills.
  • Logical and flexible thinking.

  • Participate in the tendering processes to manage tender lists, manage the dispatch of tender documentation and quotations in accordance with the governing laws and co-ordinate responses to tender enquiries as appropriate.
  • Identify and implement a weekly / monthly / quarterly / annual procurement planning reports, inventory & stock taking reports & process to streamline procurement of beverages and other services to increase competitive tendering and internal processes.
  • Oversee and manage warehouse inventory for inventory maximization, shipping routes and rates, distribution, and effective movement of inventory.
  • Oversee and monitor the IT systems that track shipments, inventory, storage, warehousing, and the supply of beverages and other services. Provide feedback to the respective teams.
  • Review, organize and confirm the delivery of beverages and other services.
  • Prepare and present procurement annual budget to the management.
  • Control and monitor the procurement budget and promote a culture of long-term cost saving. Closely monitor all variances and report to management.
  • Devise key performance indicators, sampling procedures and directions for recording and reporting quality data and identifying areas for improvement in the quality system and report outcomes to management.
  • Manage and ensure timely purchase, storage, and delivery, with efficient turnaround time to all stakeholders.
  • Ensure quality standards are met through administration of purchasing, supply, and any other complaints.
  • Prepare clear and informative reports highlighting relevant information to management.
  • Collaborate with sales, marketing, and finance teams to align supply chain activities with business objectives.
  • Manage a team of supply chain professionals.

Supply Chain (Logistics) Responsibilities:

  • Ensure compliance with all applicable regulations and customs laws and regulations for the proper and adequate transportation and storage of inventory items.
